Vancouver Island Radon Solutions(“we”, “us”) is a small indoor air quality testing business operating on Vancouver Island, British Columbia. This policy describes the personal information we collect from visitors to this website and from people who contact us for a quote, a test, or general information — and how we handle that information under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA)and British Columbia’s Personal Information Protection Act (BC PIPA).
1. What we collect

- Phone number — if you provide one, so we can schedule or clarify by phone.
- Property address or postal code — so we can confirm coverage and quote travel accurately.
- The content of your enquiry — anything you write in a message, email, or voicemail to us.
This site does not use third-party analytics or tracking cookies, and we do not build behavioural profiles of visitors. The only cookies used are functional cookies required for the site to work.
2. How we use it
We use your personal information only to:

- Schedule, perform, and follow up on testing services;
- Deliver written reports and interpretation;
- Send occasional service-related communication (e.g. confirming a booking, sharing results, or requesting re-test consent) — never marketing spam.

3. Who else sees your information
Your personal information is shared with third parties only where strictly necessary to deliver the service you asked for:
- Our hosting provider — the servers that run this website. They process web-request metadata (IP address, browser info) only to deliver pages to you.
- Our email delivery provider — used to forward form or email enquiries to our team inbox. Message content is transmitted through their infrastructure.
- Accredited labs — when a test requires lab analysis, samples are shipped to a Canadian lab under a sample ID. Your name and address are not shared with the lab unless you specifically ask us to.
- Payment processor — if you pay by card, the processor handles card data directly; we never see or store card numbers.
- Legal disclosure — where a law or court order requires it. If that ever happens, we will notify you unless legally prohibited.
4. How long we keep it
Enquiry emails and quote records: up to 24 months, then deleted or anonymized. Test reports and supporting records: up to 7 years, to meet professional and insurance record-keeping requirements. You can ask us to delete your information sooner (see section 6).
5. How we protect it
Information is stored on encrypted disks with reputable service providers, transmitted over TLS (HTTPS), and access is limited to the small team that needs it to serve you. No system is perfectly secure — if we ever detect a breach that affects your information, we will notify you and the relevant privacy commissioner as required by law.
6. Your rights
Under PIPEDA and BC PIPA, you have the right to:
- Access the personal information we hold about you;
- Correct anything that is inaccurate;
- Withdraw consent and ask us to stop using or delete your information (subject to any legal record-keeping obligations);
- Complain to the Office of the Privacy Commissioner of Canada or the Office of the Information & Privacy Commissioner for BC if you believe we have mishandled your information.

7. Children
This site and our services are directed at property owners and tenants. We do not knowingly collect personal information from children under 13.
